BOOKING AND CANCELLATION POLICY
Consulting Services

1. BOOKING AND CONFIRMATION

  • The service booking will be formalized through contract signing and payment of 50% of the total amount as a deposit.

  • 30% of the total amount will be paid upon completion of the last teacher training session.

  • 20% of the total amount will be paid upon completion of the last follow-up session.

  • Once the booking is confirmed, session dates will be scheduled by mutual agreement.

  • Once the contract is signed, the initial payment is made, and the comprehensive diagnosis is completed, Kaizen Global will have 15 business days to begin the first session tailored to the institution's needs.

2. SESSION RESCHEDULING

  • At least 72 hours in advance: Any session may be rescheduled at no additional cost. Simply provide prior notice via email or phone.

  • Between 24 and 72 hours in advance: Rescheduling will be permitted, but an administrative fee of €100 may be applied.

  • Less than 24 hours in advance: The session will be considered as completed.

3. SERVICE CANCELLATION
3.1 Cancellation by the client
Before service begins (before the first session):

  • With 15 days or more notice: Refund of 80% of the deposit paid.

  • With less than 15 days notice: Refund of 50% of the deposit paid.

Once service has begun:

  • No refunds will be made for amounts already paid.

  • Completed sessions will be considered final and charged.

  • If you wish to discontinue the service, remaining sessions will not be refundable but may be used within a maximum period of 6 months.

3.2 Cancellation by Kaizen Global

  • Kaizen Global reserves the right to terminate the contract in the following cases:

  • Non-payment by the client according to agreed timelines

  • Breach of service terms

  • Misuse of provided materials or methodologies

  • Inappropriate, disrespectful, or abusive conduct toward Kaizen Global staff

  • Providing false or fraudulent information

  • Any action that puts the reputation at risk

  • Inability to continue service due to force majeure

In these cases:

  • If cancellation is due to non-payment or client breach, no refunds will be made.

  • If cancellation is due to circumstances beyond the client's control or unilateral decision by Kaizen Global, 100% of the outstanding amount for services not rendered will be refunded according to the payment plan outlined in section 1. BOOKING AND CONFIRMATION.


4. NO-SHOW TO SESSIONS

  • If the client does not attend a scheduled session without prior notice, the session will be considered as completed.

  • After three absences without justification, Kaizen Global reserves the right to terminate the service without refund. If an agreement is reached with the client to continue the service, a penalty of €100 per missed session will apply.

5. CANCELLATION OR RESCHEDULING PROCEDURE
To cancel or reschedule a session, the client must:

Send an email to: info@kaizenglobal.es or to the consultant in charge of the service.
Cancellation or rescheduling will be considered effective once written confirmation is received from Kaizen Global.


6. EXCEPTIONS
This policy may not apply in the following circumstances:

  • Medical emergencies or duly justified force majeure situations: Each case will be evaluated individually to offer flexible solutions.

  • Customized services already completed or materials already produced: Will not be refundable once delivered.

  • Special agreements made in writing between Kaizen Global and the client.


7. CONFIDENTIALITY
7.1 Confidentiality commitment
Kaizen Global commits to maintaining the strictest confidentiality regarding all information provided by the client during service delivery. This includes, but is not limited to:

  • Data from the educational institution and its community

  • Information about internal processes, methodologies, and educational practices

  • Data of students, families, and teaching staff

  • Financial, administrative, or strategic information of the institution

  • Any other sensitive information shared within the service framework

7.2 Use of information
Information provided by the client will be used exclusively for:

  • Effective delivery of the contracted service

  • Design of personalized strategies for the educational institution

  • Monitoring and evaluation of service results

  • Kaizen Global will not share, sell, or disclose this information to third parties without the express written consent of the client.

7.3 Exceptions to confidentiality commitment
The confidentiality obligation will not apply when:

  • Information is in the public domain or becomes so through sources other than Kaizen Global

  • Information must be disclosed by legal obligation or court order

  • The client expressly authorizes in writing the disclosure of specific information

7.4 Personal data protection
Kaizen Global complies with current data protection regulations (GDPR - General Data Protection Regulation). Personal data collected will be processed according to our Privacy Policy and solely for the purposes of the contracted service.
7.5 Duration of confidentiality
The confidentiality commitment will remain in effect during service delivery and will be maintained indefinitely after completion, cancellation, or termination thereof, regardless of the reason.
7.6 Confidentiality by the client
The client likewise commits to maintaining confidentiality regarding methodologies, tools, materials, and specific strategies developed or shared by Kaizen Global (intellectual property) during the service, limiting their use exclusively to the internal scope of their educational institution.
7.7 Success cases and testimonials
Kaizen Global may mention the client as a commercial reference or success case only with prior written authorization from the client, specifying what information may be shared publicly.

8. REFUNDS AND CREDITS
Refunds, when applicable, will be processed within a maximum of 30 business days from the request.
Credits for future services will be valid for 6 months from the date of issuance.
Outstanding payments: any amount owed must be settled as agreed.

9. ACCEPTANCE OF POLICY
By contracting services with Kaizen Global, the client accepts this Booking and Cancellation Policy in its entirety.
